Tim Simpson called to order at 7:02
REVIEW OF MEETING MINUTES DATED MAY 9th, 2001
Gene Carroll moved to approve the minutes as written, Keith Weeks second. UNANIMOUS.
OLD BUSINESS
AUDIT REPORT
Scott
Rullon, a local auditor firm, gave a presentation to the directors on an audit proposal (
see enclosed ) for the years 99-00 and 00-01 for both associations.
Discussion
was held on audit specifics, I.E. levels, exact work to be performed, and the statistical
accuracy of the results. Mr. Rullon explained
the procedures and the beneficial results he expected from the analysis. He stated that ideally both associations should
begin the process at years end.
Gene Carroll moved to award Scott Rullon and Associates the contract to perform the Road and Recreation audit, Merle Niehuas second. Opened for discussion. Motion carried 3 votes to 1.
Ralph Goble moved to award the Water and Sewer Association audit
contract to Scott Rullon and Associates. Opened for discussion. Motion
carried. Unanimously.
It was asked
that a letter of thanks be sent to Sample and Bailey.
BY LAWS
They have
been reviewed by our attorney and all recommendations have been implemented. ACC will
transfer back to Road & Recreation as a general committee to be called ARC
(Architectural Review Committee).
NEW BUSINESS
Keith Weeks moved to form a new litigation committee (see enclosed) Ralph Goble seconded. Opened for discussion. Motion Carried. Unanimously.
Discussion
was held on Alinea Coy maintaining her status as a Director and an employee of the
Associations. Consensus from other Directors was felt there was not a conflict. As long as
she abstains from certain personnel issues.
It was also
asked that the Department of Wildlife be invited to speak during registration at the
annual meeting.
Tim Simpson moved to adjourn to executive session at 8:27 pm, Ralph Goble seconded. Motion carried. Unanimously.
Back to regular session at 9:05 pm. Ralph Goble moved to adjourn Marilyn Buhrman seconded. Motion carried. Unanimously.
Jerry Eubanks moved to open session for Water & Sewer only at 9:08 pm, Keith Weeks seconded. Motion carried. Unanimously.
Jerry Eubanks moved to bill members a Special Assessment $10.00 for legal fees (over budget) $16.00 for upcoming audit, for a total of $26.00. Keith Weeks seconded. Motion carried. Unanimously.
Alinea Coy moved to adjourn, Jerry Eubanks seconded, Motion carried Unanimously.
